The Problem
Our client raises funds by distributing envelopes to households across the UK. Each envelope is completed by the donor and includes their name, address, amount of donation and ticks in up to 3 boxes. One of these boxes (Gift Aid) authorises our client to reclaim tax from the Inland Revenue. Once donations have been removed, the envelopes are batched up and the donation value calculated and a batch sheet is produced. All information needs to be recorded. 

The Solution
Scanned images of batch sheets and envelopes are sent electronically to our processing centre in Mumbai. Data is captured from each envelope and addresses are PAF validated. We then check that the individual envelope values total the batch value. Any discrepancies are reconciled and new batch values provided. All rejected documents are removed and batches recalculated. These items are included on a report for further investigation by the client.

The Result
All essential data is accurately captured and monetary values reconciled at a much lower processing costs. A report on rejected information highlights areas needing further investigation. Turnaround is much faster with all deadlines now being met. We successfully processed over 220,000 records in 3 months.

 
 
 
 
Lifistyle Surveys

The Problem
Our client needed to process surveys that ranged 4-12 A4 pages comprising in excess of 200-400 questions and that required the capture of ticked and textual responses. The project presented additional challenges of fluctuating volumes with fixed turnaround (making it difficult to meet deadlines) and the image size being too large (adding to extended downloading times).

The Solution
Images of the survey are sent electronically to our processing centre. The problem of image size is resolved by splitting each document into several images, facilitating faster downloading. Bespoke software has been created that synchronises the image movement with the fields to be captured, resulting in greater accuracy and increased efficiency. Special mechanisms are used to output the complex data in the complex format specified by the client.

The Result
Our client is able to concentrate on the administration of the survey and utilising the output data. The surveys are expensive to replicate. The client is therefore able to process the information without risking the loss of the original documents. The processing costs are reduced, the accuracy of the data is improved and the required timescales are met. We have processed upto 20,000 records per month.

 
 
 
 
National Student Discount Scheme

The Problem
Our client has to process huge numbers of application forms from students who apply for a national and well known discount scheme. There are over 40 varieties of application form that have to be recorded onto one of 12 different data layouts from students that reside worldwide. Our client also had to contend with a huge peak of applications in the third quarter when the new academic year starts.

The Solution
All applications are scanned and sent electronically to our Mumbai processing centre where the data is captured onto our clients' database.  All addresses are PAF validated and selected fields are double-keyed. Our client is provided with valid and accurate data. Any rejected information is also supplied to our client for further investigation.

The Result
Our client has greatly reduced their operating costs in outsourcing this process. The accuracy of the data is also improved with a huge saving in turnaround time enabling them to meet set deadlines. A useful addition has been our report on rejected information that highlights areas needing further investigation. We successfully processed over 2 million records in under 3 years.

The Problem
Our client is a niche player in financial information products.
Their problem was the lack of connectivity because their data was in a variety of different databases.
They were unable to launch themselves as a fully-fledged financial data vendor due to their lack of the required IT and operational expertise and were unable to capitalise on their front-end skills and sourcing abilities.

The Solution
We used our knowledge of the clients' objectives to create a comprehensive and flexible database with the ability to evolve as their needs changed.
By consolidating their different databases into a single back end format they were able to benefit from greater functionality of their information - automatic calculations, eradication of duplicate entries, ease of reference and greater data analysis.
The time saving was enormous.

The Result
This allowed our client to concentrate on what they did best - to procure and sell their valuable information!

Archived Records

The Problem
Our client needed to capture information from archived records that dated back to the late 19th Century.
The project presented additional challenges because the source information was handwritten and bound in hardback volumes. The ink for the earlier entries was also fading a bit.

The Solution
The pages of the volumes were scanned her in the UK and these images were then sent electronically to our processing centre. The problem of downloading time was shortened by changing the format of the images.
Prior to commencing work, a team of specially selected staff were extensively trained in calligraphy and handwriting recognition. The images were also balanced to allow to maximum contrast and better recognition.

The Result
Our client was able to obtain, in the form of a database, the archived records without having to physically send the bound volumes to India.

The work was completed within the stipulated timeframe with considerable savings in costs.
